Artist Participation Agreement

These Terms & Conditions govern participation by artists exhibiting as part of Imprint Art Fair 2026 (“Imprint”, “the Fair”, “we”, “us” or “our”).

By accepting an invitation to exhibit, submitting work through the Artist Open Call, or otherwise agreeing to participate in Imprint Art Fair, artists agree to the following terms.

1. About Imprint Art Fair

Imprint Art Fair Ltd presents Imprint Art Fair, taking place at:

RHS Lawrence Hall
Westminster
London

29 October - 01 November 2026

Imprint Art Fair is a contemporary art fair dedicated to print and editions, bringing together galleries, artists, publishers and collectors while positioning print as a gateway to collecting contemporary art.

2. Selection & Participation

Participation in Imprint Art Fair is by invitation, selection or successful application.

Submission of an application or expression of interest does not guarantee participation.

Imprint reserves the right to determine:

  • artist selection

  • artwork suitability

  • exhibition placement

  • curatorial fit

  • fair presentation and programming

All selection decisions are final.

3. Artist Responsibilities

Artists agree to:

  • act professionally and in good faith throughout participation

  • provide accurate information relating to submitted works

  • ensure submitted works are available for exhibition and sale

  • comply with deadlines and reasonable requests from the Imprint team

  • ensure works are delivered in an exhibition-ready condition

Artists remain responsible for the accuracy of:

  • titles

  • dimensions

  • media

  • edition details

  • framing information

  • pricing

  • descriptions and supporting information

4. Artwork Eligibility & Ownership

Artists confirm that:

  • they own the artwork submitted or have full authority to exhibit and sell it

  • works do not infringe third-party intellectual property rights

  • submitted information is accurate to the best of their knowledge

  • works are lawful to exhibit and sell in the United Kingdom

Artists warrant that works:

  • are original and authentic

  • have not knowingly been misrepresented

  • are free from undisclosed ownership disputes or claims

Imprint reserves the right to remove or refuse artworks where information provided is materially misleading or where authenticity, ownership or suitability is reasonably questioned.

5. Artwork Presentation

Artists are responsible for ensuring artworks are:

  • professionally presented

  • suitably framed or finished where applicable

  • safely installable

  • exhibition ready

Imprint reserves the right to refuse works deemed unsafe, poorly presented or materially different from submitted materials.

Reasonable curatorial adjustments to display may be made at Imprint’s discretion.

6. Pricing & Sales

Artists agree to honour the pricing submitted to Imprint prior to the fair.

Prices may not be altered during the fair without prior written agreement.

Imprint may facilitate artwork sales on behalf of participating artists.

Artists agree not to withdraw works made available for sale during the fair period without prior written consent.

All sales remain subject to payment clearance.

Where applicable, commissions, payment processing fees or agreed deductions will be outlined separately.

7. Payments

Payments to artists will be made following receipt of cleared funds from buyers.

Imprint reserves the right to withhold payment where:

  • payment remains outstanding

  • disputes arise concerning ownership or authenticity

  • artwork delivery obligations remain incomplete

  • refund claims or transaction disputes are unresolved

Artists remain responsible for applicable taxes relating to sales.

8. Insurance

Artists are solely responsible for arranging and maintaining appropriate insurance for all artworks, frames, materials and associated property submitted to or exhibited at Imprint Art Fair.

Imprint Art Fair Ltd does not provide insurance cover for individual artworks unless explicitly agreed in writing.

Artists are strongly encouraged to ensure works are adequately insured against:

  • loss

  • theft

  • accidental damage

  • transit damage

  • public liability where applicable

This responsibility applies during:

  • transport to and from the fair

  • installation and deinstallation

  • storage

  • exhibition at RHS Lawrence Hall, Westminster

  • collection or onward shipping

While Imprint will take reasonable care in overseeing works during the fair, artworks remain entirely at the artist’s risk.

Imprint Art Fair Ltd accepts no liability for loss or damage to artworks except where directly caused by proven negligence.

9. Delivery, Installation & Collection

Artists are responsible for ensuring works are delivered and collected within the timelines communicated by Imprint.

Unless otherwise agreed:

  • artists are responsible for delivery costs

  • artists are responsible for return shipping or collection

  • works not collected on time may incur storage or handling costs

Imprint may appoint preferred logistics or shipping partners, but responsibility for arrangements remains with the artist unless otherwise agreed.

10. Marketing, Photography & Promotion

Artists grant Imprint a non-exclusive right to use submitted materials relating to artworks for:

  • marketing and promotion

  • press activity

  • social media

  • printed materials

  • website listings

  • digital campaigns

  • future fair promotion and archival purposes

This includes:

  • artwork imagery

  • artist biographies

  • descriptions

  • installation views

  • photography of exhibited works

Copyright remains with the artist.

Imprint will make reasonable efforts to credit artists appropriately.

11. Withdrawal & Cancellation

If an artist withdraws after acceptance, Imprint reserves the right to retain any application, participation or administration fees already paid.

Where works have been committed to the fair, artists should notify Imprint as soon as reasonably possible.

Imprint reserves the right to determine whether participation fees remain payable depending on timing and circumstances.

12. Right to Refuse or Remove Work

Imprint reserves the right to refuse, withdraw or remove works where:

  • submitted information is materially inaccurate

  • works materially differ from approved submissions

  • works present safety concerns

  • works are considered unlawful or infringing

  • installation requirements cannot reasonably be met

Imprint may also make curatorial decisions regarding placement and presentation.

13. Limitation of Liability

Imprint Art Fair Ltd shall not be liable for:

  • indirect or consequential loss

  • loss of business or reputation

  • missed sales opportunities

  • transport delays or third-party courier issues

  • circumstances outside reasonable control

Nothing in these terms excludes liability where unlawful to do so, including death or personal injury caused by negligence.

14. Privacy

Artist participation is also governed by Imprint’s:

  • Terms & Conditions

  • Refund Policy

15. Changes to Participation Terms

Imprint reserves the right to amend these Terms & Conditions where reasonably necessary.

Updated terms will be communicated where material changes arise.

16. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
